Procurement Specialist

Position Description

The Procurement Specialist is responsible for becoming the bridge between our vendors, the accounting group, warehouse team, and our project teams.  The Procurement Specialist works closely with Senior Project Managers and Project Managers to ensure the successful purchasing, tracking and receiving of all FF&E goods.  The Procurement Specialist reports to the Procurement Coordinator of Faulkner Design Group.

 

Key Responsibilities

  • Produce Purchase Orders and track FF&E items with vendors.

  • Monitor and review status reports from receiving warehouse (in-house or out of town facilities).

  • Assist Project Managers with coordinating vendor pricing quotes.

  • Assist Project Managers with project inventory and closeout.

  • Coordinate with the Accounts Payable Manager to ensure that invoices and balances are paid according to vendor terms.

  • Coordinate with the Project Team to resolve issues related to product availability, product reselections, and changes.

  • Maintain purchase order log including project budget status and present to the Project Manager for periodic review.

  • Create and assemble purchase order books for the Project Manager and warehouse receiving manager.

  • Coordinate updates with PM and warehouse manager.

  • Create and assemble the install book (to be given to Client on the day of the install) that includes:

  • Warranty paperwork, numbered furniture plans, furniture presentation, & section for images of the install for Client’s future reference

  • Strengthen vendor relationships; develop and maintain key vendor partnerships for the firm.

  • Analyze and negotiate bids with vendors to present the most advantageous pricing, quality, logistics and service.

  • Work with vendors to establish favorable credit terms with new manufacturers.

Qualifications

  • Educational Requirements: Bachelor’s Degree preferred but not required

    Software: Microsoft Office (high proficiency in Excel)

    Experience: 5+ years applicable experience is preferred

    Transportation: Must have reliable transportation to and from work

  • Additional:

    • Excellent organizational, multi-tasking, and time management skills

    • Possess strong written, oral, and communication skills.

    • Proven ability to handle shifting priorities, demands, and timelines.

    • This position has access to confidential financial and company information. Must possess the integrity and maturity to assure confidential information and documents are secure

    • Strong ability to problem-solve.
