Operations Coordinator

Position Description

The Office Coordinator has a vital position in the public relations and operations of the company. As the first person to interact with guests, either face-to-face or over the phone, the Operations Coordinator conveys the hospitality of our firm. In addition to assisting with marketing and administrative functions, this position is responsible for promoting our culture with event planning and coordination. As such, this position requires 36 hours minimum in the office, Monday through Thursday with a flexible Friday schedule.

 

Key Responsibilities

  • Help plan, organize, and facilitate company meetings and events including holiday party, annual employee retreat “FDG Forward” and community outreach

  • Manage office opening and closing procedures

  • Manage office organization including maintaining consistent inventory of supplies

  • Assist Marketing Department with key initiatives

  • Administrative support for key personnel

  • Prepare conference rooms and public areas for client meetings and other visitors and order meals as necessary

  • Create and maintain forms, templates, and records; update as necessary

  • Field and transfer incoming phone calls and messages

  • Coordinate employee recognition program, “Gratitude Gold”

  • Liasian to the office building management

  • Maintain and organize the company calendars

Qualifications

  • Educational Requirements: Bachelor/Associates Degree or equivalent experience

  • Software (current versions): Microsoft Office Suite (proficiency), Adobe Creative Suite (working knowledge), familiarity with web-based platforms such as Squarespace, Google Docs, and Survey Monkey (preferred)

  • Experience: 2+ years of applicable experience is preferred

  • Transportation: Must possess a vehicle and have the ability to drive

  • Excellent organization, proactive, multi-tasking, problem solving, and time management skills

  • Possess strong written, oral, and communication skills
